Continuous Quality Improvement (CQI)- Corporate

Serving those who serve others.  The Continuous Quality Improvement (CQI) Department supports the programs of VOALA through data collection and validation, identifying, describing, and analyzing strengths and problems and then supporting the Evaluation Department and the Programs as they implement and update best practices.  The CQI Department works with all VOALA programs to ensure their hard copy records and electronic databases meet legal and funder requirements, and reviews selected program procedures for compliance with funder requirements and goals.  The CQI Department strives to ensure that all VOALA programs are “audit-ready”.

JOB SUMMARY AND PURPOSE

Under the supervision of the Data Monitoring Supervisor, the Data Monitoring Coordinator facilitates coordination of data monitoring in the review of the assigned programs’ documentation and database practices related to grant, contract and legal requirements as well as organization policies and initiatives. As directed, performs independent projects supporting program data monitoring, contract compliance, department tasks / training, tool development, communication with program staff, and support to CQI department priorities as needed.  Specific duties include:

DUTIES AND RESPONSIBILITIES

  • Monitor data entries and program reports for accuracy, consistency, and completeness
  • Generate customized reports to support Data Monitoring Supervisor and program management
  • Coordinate with CQI Data Team and program staff to ensure documentation and database practices related to grant, contract and legal requirements as well as organization policies are met.
  • Identify data discrepancies, errors, or omissions in collaboration with data entry staff and or program teams and leadership. Additionally, facilitate communication and coordination of programmatic data status to mitigate data errors and discrepancies
  • Ensure that identified deficiencies are tracked and corrected in support of continuous incremental improvement
  • Meets regularly with program personnel to provide technical support with regards to data quality management.
  • Ensure compliance with organizational data standards, policies, KPIs, and regulatory requirements.
  • Maintain documentation of data review processes, findings, and corrective actions.
  • Support data quality audits and assist in preparing reports and KPIs for internal and external stakeholders.
  • Collaborate with analysts and program staff to improve data collection tools and workflows.
  • Knowledge of assigned program contracts and their requirements
  • Remain current with all assigned program funder requirements by attending trainings, workshops and meetings
  • Provide valid and constructive feedback and training to staff on data quality best practices.
  • Monitor data trends and flag potential issues for further investigation as needed.
  • Assist in the development and refinement of data review protocols and checklists.

ESSENTIAL DUTIES:

  • An essential function of this position requires incumbents to report to the office.
  • Documentation and data entry Review

  • Maintain documentation of data review processes, findings, and corrective actions.
  • Support data quality audits and assist in preparing reports and KPIs for internal and external stakeholders.
  • Collaborate with analysts and program staff to improve data collection tools and workflows.
  • Provide feedback and training to staff on data quality best practices.
  • Monitor data trends and flag potential issues for further investigation.
  • Assist in the development and refinement of data review protocols and checklists.
  • Other duties as required (subject to change based on the needs of the organization).

MANDATED REPORTER

As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters, and must report any instance of physical or sexual abuse to proper authorities.

Qualifications

REQUIREMENTS:

  • Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications
  • Ability to perform under circumstances of possible emotional stress and conflicts dealing with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs which may include clients with homelessness, mental-illness, substance abuse, recently released from incarceration and other challenges.

EDUCATION:

  • Bachelor’s degree in Data Management, Public Administration, Social Sciences, or a related field.

EXPERIENCE:

  • 2-year experience in data review, quality assurance, or administrative support.

PREFERRED QUALIFICATIONS:

  • Master's degree in Data Science, Social Science, Public Administration, or other relevant discipline
  • Experience working with veterans, people in recovery and/or homelessness individuals
  • Familiarity with enrollment data collected for homeless services, HUD data requirements, coordinated HMIS databases, and comparable victim service HMIS databases
  • Bilingual preferred (English and Spanish)
