Corporate - CONTINUOUS QUALITY IMPROVEMENT

Serving those who serve others.  The Continuous Quality Improvement (CQI)   Department works with all VOALA programs to ensure their hard copy records and electronic databases meet legal and funder requirements, and reviews selected program procedures for compliance with funder requirements and goals.  The CQI Department strives to ensure that all VOALA programs are “audit-ready”.

JOB SUMMARY AND PURPOSE

The Database Coordinator oversees and validates the data entered into the Homeless Management Information System (HMIS) by multiple programs’ staffs and dedicated HMIS Specialists.  Conducts regular audits to ensure data accuracy, and corrects errors, ensures required monthly and periodic reporting to funder, and generates reports from HMIS data showing program performance.  Trains all users of HMIS, assists in program funder audits, internal audits and monitoring visits.  

DUTIES AND RESPONSIBILITIES

  • Ensures all required data fields are available in HMIS so that others can input required data.
  • Keeps up to date on all LAHSA contracts.
  • Validates data entered into HMIS from multiple program locations through spot checks and regular audits to assure accuracy of data.  Directs data entry to correct identified errors.
  • Runs regular progress reports, and other reports as required by Eval Manager and Grand Development; provided other needed information on request, reviews reports generated by HMIS Specialists
  • Oversees quarterly and annual funder reports for LAHSA; ensures accuracy & resolves issues with HMIS
  • Ensures HMIS data is uploaded to funder’s database monthly/as required
  • Coordinates with program staff to ensure HMIS intake requirements are met
  • Subject matter expert on HMIS, trains program staff on database and answers questions relating to the system,
    • Attends professional funder workshops and regular meetings with LAHSA
    • Coordinates with funder any database updates and reporting requirements
    • Supports any technical and reporting issues related to HMIS system
  • Coordinates with data quality reviewers; support programs prior to funder audits and ensure all requirements are in place. Make program visits for HMIS training.
  • Reports and resolves HMIS issues with LAHSA
    • Track, resolve, and document continuous quality improvement issues.
    • Support program managers and supporting staff.
    • Communicate with funders to assist before, during, and after funder audits regarding HMIS related problems
  • Meet monthly with assigned Program personnel to provide technical support with regards to data quality management.
  • Other duties as may be assigned by Director of Evaluation and CQI.

Qualifications

REQUIREMENTS:

  • Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications

EDUCATION:

  • Bachelor’s Degree in social science or related field OR combination of equivalent experience and education (4 years).

EXPERIENCE:

  • 3 years’ experience in HMIS database operations and/or oversight of reporting submissions for multiple programs
  • Experience in quality assurance
  • 3 years of experience with nonprofit organizations or US Government organizations.

PREFERRED QUALIFICATIONS:

  • Bachelor’s Degree in social science or related field.
  • Familiarity with Clarity or any other HMIS database system.
  • Familiar local, state and/or federal funded programs
  • Appreciation of quality assurance
